How to Actually Back Up Your Photos (So They’re Really Safe)

Most "backed up" photo libraries live in exactly one place, which isn't a backup at all. Here's the simple, automatic setup Larry uses for Springfield, Livingston, and Manhattan clients so a lost phone never means lost memories.

You talk to Larry on the phone, and Larry shows up at the door — the same person, every time.

Every month, I get a call from someone in a panic: a laptop had a cup of coffee knocked over it, an iPad was left on a train, or an external hard drive suddenly started clicking. And in almost every case, the person says: “I thought my photos were backed up in iCloud!”

Here is the truth about photo storage that tech companies don’t explain clearly: Syncing is not the same as a backup.

The danger of cloud syncing vs. true backups

When you use services like Apple iCloud Photos or Google Photos with default settings, they “sync” your library across your devices. If you accidentally delete an album on your phone, it instantly deletes from the cloud and from your laptop too. If ransomware scrambles your files, the scrambled files sync to the cloud.

A true backup is an independent, historical archive that you can restore from even if your primary device is completely destroyed or wiped.

The 3-2-1 Rule made simple

In the IT world, the golden standard for data protection is the 3-2-1 rule:

  • 3 copies of your important data (your active machine + two separate backups).
  • 2 different storage media (for example, your local computer drive + an external USB drive).
  • 1 copy stored offsite (an automated, encrypted cloud backup like Backblaze or dedicated cloud storage).

How to set it up so you never have to think about it

The best backup system is the one that happens completely automatically without requiring you to remember to plug in a drive every Sunday evening. An automated background cloud service coupled with a local Time Machine or Windows File History drive gives you instant local recovery plus complete disaster protection.
